Business plan for a printing design studio. How much money does the printing house bring? The history of our family business Business plan for a digital printing house with calculations

“applies to start-ups, very small enterprises opened with almost no initial capital. Many of them fail - this is understandable; according to statistics, most of any new enterprises close in the first three years of operation. But there are other stories, success stories. Today IQ Review brings to your attention the history of a family business that has been developing for more than 20 years and can now rightfully be called not a small, but a medium-sized business.

How our family business developed - from an advertising agency to a printing house

My name is Maxim, I am 26 years old, originally from the city of Simferopol. At the time of opening the family business, I was only 5 years old. The history of our business begins in 1995, when Crimea was not only not developing, but was in outright decline, the salary of an ordinary employee was not enough, and the idea arose to try to organize our own business. At that time, there were almost no printing houses in our city, therefore, this option was considered.

Typography as a business

Today, opening a printing house requires having a business plan. Back then, no one had detailed business plans; they decided to come up with everything, roughly speaking, on the fly. Initially, with the help of friends, we rented premises for a regular advertising agency, which was collecting orders for printed products (flyers, booklets, postcards, posters). After that, my father went by minibus to Hungary, to visit friends who at that time had a small printing house with a small offset printing machine. Orders were printed abroad, after which they made the same journey back to Simferopol.

A few years later, funds appeared to rent a small workshop, into which our first Romayor offset press was delivered. This was 1997-98. Work has become much easier since we got rid of weekly trips to Hungary. The advertising agency also gradually developed - from simply accepting orders they moved on to developing design layouts and corporate styles, and purchased a cutting plotter. There was also pressure from the so-called “bandits” who made threats, but, to our joy, everything worked out well.

What equipment is needed for a printing house?

The second significant problem was that it was extremely difficult to get consumables; we had to again find everything through friends in Europe. Suppliers of paints and various types of paper appeared somewhat later than the moment when we began our activities. The third problem is the lack of specialists who can work on our equipment and also repair it. If we were able to find a good printer, then experienced adjusters and repairmen had to be invited either from Kharkov or from Moscow.

The peak of our business development occurred in 1998-2005; premises for offices were purchased, which, by the way, were located in the city center to ensure the most comfortable communication with customers. We also bought new Dominant and Heidelberg printing presses. The issue has become acute that, in addition to direct printing, clients also need post-printing processing of products.

Post-press processing involves folding booklets, gluing books and catalogues, assembling calendars, magazines, in general, we managed orders completely, from the client’s wishes to completely bringing it to a salable form.

The development of this business sector has allowed our printing house to become one of the leading enterprises in the city. The staff at that time numbered 15 people, including office and printing staff, printers worked in 2 shifts.

After the 2009 crisis, business began to decline, the number of employees was halved, but this did not affect production as much as it might immediately seem. Old printing machines were replaced with one new one. They began to take quality, not quantity. It is worth noting that by this time there were significantly more competitors, and in addition, they were not inferior to us in terms of technical equipment.

After getting back on our feet a little after the crisis, we purchased a Polar cutter and a Horizon desk calendar collector. There wasn’t enough money for new equipment, so I had to settle for used ones. Due to the lack of big money, there weren’t many employees either; whole families had to work, for food.

In this situation, we had to fork out for additional advertising, which subsequently began to bear fruit. The calculation was for large network operators who could provide a constant flow of orders. They turned out to be several large household appliance stores, which remain our clients to this day. Also, cooperation with a large winery was not in vain. Large volumes of orders led to a proposal to open an additional printing house on the territory of this plant, the premises for which were provided by the plant itself. Another Rapida printing machine was purchased and a workshop was equipped for the production of labels, stickers and boxes for wine and vodka products.

All these transformations had a significant impact on profits, which made it possible to think about further development. Having paid attention to the demand and needs of the residents of the peninsula, we decided to open a small operational printing center that could provide services for the production of business cards, forms, small editions of leaflets, so to speak, without leaving the cash register. A man came, ordered, and picked it up an hour later. But this is provided that the print runs are small; large print runs are unprofitable on digital equipment.

This development of events helped relieve the main printing houses from minor work, and made it possible not to give up small profits, but simply to allocate a separate niche for it. The business model of a printing house must be thoughtful. For this center, a new risograph from Riso was purchased.

Risograph is a device that allows you to make a large number of forms (mostly black and white) at an affordable price. Risograph copying is also used to imitate handwritten advertisements.

We also bought a color double-sided copier Gestetner, capable of printing both small formats and A3 posters. For those who wanted to print posters in editions of 1000 pieces or more, it was more cost-effective to wait a couple of days while we printed them on an offset press, but if a person needed 10, 20, 30 pieces, then a color copier was the ideal solution to these issues. Later, a small used cutter and laminator were purchased for this center. Roughly speaking, an ordinary copy center has turned into a small printing house, living its own life and capable of not only supporting itself without the participation of the main offset shops, but also making a profit.

Pros and cons of running a printing business

In the near future we plan to contact drug manufacturers in order to print drug packaging. As a rule, circulations are required, large ones, and profits, accordingly, too. At the moment, the business is thriving, we are happy, and so are the employees. I would like to talk a little about the pros and cons of all this.

The main problem, perhaps, is the lack of time for oneself and loved ones. If this is your business, then you are in it headlong; you won’t be able to leave work at 6 and rest on Saturday and Sunday. You have to keep an eye on everything, because the proverb “if you want it done well, do it yourself” suits business perfectly. It is important to remember that you cannot please all customers, the print is too dark for one, too light for another, the paper is not as glossy as he would like.

The issue of price also comes up very often. Some clients for some reason think that 50,000 leaflets with double-sided printing should cost 10,000 rubles, and are surprised when they hear the price of 90,000. It is important to explain why everything is this way and not otherwise. Very often you have to “bend in” and do what you don’t want at all, listen to everyone, but we work for money, and not just for pleasure.

It often happens that a month ago a client ordered something for 10,000 rubles, and this month we issue an invoice for 12,000. It is difficult to explain to a person who does not know all the details of our work that the exchange rate is changing, therefore, paper is becoming more expensive, paint is becoming more expensive , other consumables become more expensive, and most often such subtleties have to be explained not to the manager, but directly to the director, since the client does not believe it, thinks that we are deceiving him.

The red tape required to obtain a work permit, waste disposal certificate, paperwork on working conditions, etc. takes a lot of time. In addition, the production must have a certified electrician with various levels of approvals, an employee who will keep a log on safety precautions and labor organization.

Now we are faced with the problem of the blockade of Crimea, it is very difficult to bring and get anything, be it paints, paper, technical equipment. If earlier we could set deadlines, knowing that everything would arrive exactly when we wanted, now we can only hope that nothing will happen at the crossing, that the cargo will be allowed through, and that they will bring us exactly what we ordered. But no one is discouraged, we continue to work and develop, and look into the future with optimism!

Business plan for opening a printing house: costs, markup, profit

As for the costs of running a business, we can only give average figures, taking into account currency exchange rate fluctuations and the fact that we worked in the hryvnia zone until last year. The salaries of three printers cost 20,000 rubles each, the office and copy center employees receive 10-12 thousand each - there are 8 of them, and 12 thousand each - the printing house employees involved in post-press processing. For two workshops there are 4 people each. In total, about 250 thousand rubles per month for salary.

We are also not happy with taxes; if we take all the taxes (and insurance payments) that are paid for an employee, then approximately 50% of each salary must be paid to the state. Naturally, we do not deduct them from our salaries, but pay them ourselves. Payments for utilities amount to about 80,000 rubles per month, mainly, of course, electricity costs.

Now consumables. As for paper, the price of any product takes into account the cost of paper, we always try to average this cost a little to make it easier when calculating, and we charge a conventional 100 rubles per kilogram of paper, if it’s cardboard, then it’s a little more expensive, say, 120 rubles per kilogram . We produce approximately 8 pallets of paper and 2 pallets of cardboard per week, paper is lighter, cardboard is heavier. The weight of a pallet of paper is about 600-700 kilograms (depending on density), cardboard is a little over 900 kilograms (also depends on density). In total, paper costs per week cost approximately 500 thousand rubles, and cardboard costs 200-220 thousand, but again, the numbers are averaged, sometimes it costs more, sometimes less, it all depends on the volume of orders.

Now about the paint. For full-color printing we use 4 inks - black, yellow, magenta (pink) and cyan (blue). One can of paint costs 1,800 rubles, regardless of color. It takes 4 sets of paints per week, rounding up we get 30,000 rubles. In addition, every month you need to leave about 100 thousand for the delivery of paper/inks, refilling cartridges for the copy center, as well as for eliminating possible breakdowns and service maintenance.

Naturally, when counting orders, all this is taken into account and included in the price; to make a profit, we add about 15-25% on top - depending on who orders - we, of course, give discounts to regular customers. The average monthly net profit ranges from 600 to 900 thousand rubles. If you wanted to buy a business like our printing house today, its appraised value would be in the order of a million dollars. But finding a stable, profitable printing company to buy is very difficult.

Recently, the need for printing services has been increasing.

This is due to the fact that every day more and more private companies are opened that produce and provide various services and goods. To run a successful business, they need advertising not only on the Internet, but also in the form of various brochures, business cards, booklets, magazines or leaflets. Also, each company needs various forms and forms for maintaining financial and accounting records. Ordering this from large printing houses will cost the company a considerable amount. The office copier is also not able to print forms in the required quantity. The demand for printing services is growing. Therefore, the idea that will provide these services is very profitable.

Before starting a business, you need to draw up a business plan for a printing house. It needs to reflect all the nuances, calculations, profitability, expenses, income, etc. It would be a good idea to spend time studying the printing services market. Find out which of the already operating companies will be the strongest competitor in this area. What is their price level for products, volumes, quality and speed of orders. It is not necessary to conduct a deep marketing analysis of the market, but it is necessary to study its main players.

1) Choose a legal form of doing business

If the bulk of orders are from legal entities, then the printing house cannot operate as an individual entrepreneur. It will be possible to register a company as a limited liability company (LLC). Registration is handled by the tax office.

Documents that must be submitted to the tax service to open an LLC:

  • application on form 11001 for state registration;
  • charter;
  • if there is only one founder, then the decision on establishment. If there are several founders, then a protocol on the creation of a legal entity is provided;
  • paid receipt of state duty (4 thousand rubles);
  • notarized photocopies of passports of all founders.

The period for consideration of the application by the tax authority is five working days.

If the response to the application is positive, the tax office issues the following documents:

  • certificate of state registration of LLC;
  • registered articles of association;
  • certificate in form 1-3-Accounting for registration with the tax authority;
  • extract from the Unified State Register of Legal Entities (Unified State Register of Legal Entities);
  • notification of registration with the Russian Pension Fund (PF);
  • certificate of registration with the TFOMS (Territorial Compulsory Health Insurance Fund);
  • notification from Rosstat about the assignment of statistics codes.

It will take a few more days to register with the Pension Fund, Social Insurance Fund and Rosstat. It will take two days to produce the organization's seal. Opening a bank account takes on average three days. The authorized capital of an LLC must be at least 10 thousand rubles.

2) Renting premises

It is desirable that the area of the rented premises be at least 50 square meters. m. It would be good if it was located on the ground floor and it would be possible to install additional ventilation and mount electrical wiring for 380 V. It is also necessary to take into account that it would be possible to drive up to the entrance of the printing house. Where exactly the printing company will be located, in the city center or on its outskirts, does not really matter. If you manage to rent premises closer to the business center of the city, then this will only be a plus.

As a rule, they require a small print run. Therefore, entrepreneurs are purposefully looking for small companies that are willing to work with small-volume orders for reasonable money.

Detailed typography business plan– this is the first thing necessary to organize this profitable business.

An ideal option for beginners in this field would be to open a mini-printing house.

This option has several advantages:

  • payback is many times faster;
  • a smaller start-up investment than is necessary to open a large printing services enterprise;
  • there is wide potential for expansion.

Printing house business plan: planning

Summary for a typography project

This business plan is a project for the creation and development of printing house N in Moscow.

The organization will be located in the premises at the address: Moscow, X street, 1.

The building is located a short distance from the central area, which makes it accessible to residents of any part of the city. At the same time, the rental cost is significantly lower than for similar areas in the center.

The goals of implementing the business plan are:

  1. Realization of clients' needs to receive printing services at an affordable price, but at the same time of high quality.
  2. Receiving a profit.
  3. Creation of additional jobs.

It is worth returning to the goals indicated in the printing house business plan from time to time to check: are you moving in the right direction?

Printing services

Basically, the provision of printing services to clients forms three categories:

  1. Newspaper printing and advertising production.
  2. Production of magazines and books.
  3. Production of packaging products, labels, stickers for goods.

This type of service, such as printing leaflets and calendars (which is usually classified as advertising products), is performed in almost all printing houses.

After all, the level of demand for these services is the highest and the population needs to get results in the shortest possible time.

From this need for urgency, mini printers can make extra money. For example, add a 10% markup to the cost of services that must be completed “by morning.”

Printing room

There are few requirements for the premises of a mini-printing house, but they are also indicated in the business plan.

Some entrepreneurs manage to simply allocate about 20 sq.m. in an already operating company.

If you are opening a printing house from scratch, you will need to find an office with an area of 30-40 sq.m. for rent. (excluding warehouse). It is brought into compliance with fire safety and SES requirements in order to obtain permission to operate.

Printing shop marketing plan

Interesting fact:
The heaviest printed book is considered to be a geographical atlas, which is kept in the British Museum in London. Its weight is 320 kilograms.

The market for the provision of printing services, as well as related projects, suffered along with everyone else from the crisis of 2008-09. But by 2010, most enterprises had reached the pre-crisis level of turnover.

Subsequently, this direction showed only an increase in indicators.

However, in recent years, some printing house owners have concluded that revenue has fallen by 10-15%. This affected, first of all, those projects that provided narrowly focused services.

It is important for current clients to immediately receive results when placing an order. Therefore, enterprises that have sufficient potential to work at such a pace only received an increase in order volumes. While narrowly focused firms lost ground.

In addition, the market is significantly constrained by the spread of digital technologies. This has reduced the cost of some services.

Based on these business plan data, we conclude: in order to develop and stay at the top, printing houses should increase the speed of the enterprise and the volume of orders fulfilled. Then the reduction in the average price tag will not affect the amount of total revenue.

Target audience of the printing house

The target audience of the printing house N of the current business plan is individuals and legal entities who need printing and copying services (printing leaflets, prospectuses, special forms, copying various materials of different formats).

You can also connect representatives of schools and universities who need printing services for teaching materials and educational products to the printing house’s target audience.

The predicted ratio of categories in the current business plan is as follows: legal entities make up about 55% of the audience, 35% are represented by individuals, and only 10% are schools and universities.

Advertising campaign for printing house

  • Advertising in periodicals.
    The cost of this service is affordable, but significantly affects the increase in the company’s recognition and stimulates potential customers to apply by listing competitive advantages.
  • Advertising of a printing house in subway cars.
    Allows you to reach the maximum audience of potential clients.
  • It is important to note that a notary office is located in the neighboring building.
    Its visitors are potential clients of the printing house N.
    To attract them, a noticeable sign above the entrance to the building and also a banner on the wall with a list of services will be used.

Competitive advantages of the printing house

The competitive advantages of printing house N, indicated in the business plan, are:

  • wide range of services;

    Of course, if you are not an expert in this matter and are not able to perform the work better than any invited master.
    In addition, it is worth considering that when installed by private individuals, and not by company representatives, the warranty often ceases to be valid or its validity period is reduced.
  2. Advertising campaign.
    It starts about a month before the opening of the printing house, but continues to be active throughout its existence.
    At the moment you reach financial break-even, you can stop investing the same large sums in this direction.
  3. Hiring employees, registering them according to the labor code, instructing them and taking advanced training courses if necessary.
  1. Launch of the printing house.

This list may include the following indicators:

  1. High level of competition on a territorial basis.
  2. There is a shortage of qualified craftsmen who specialize in the repair and maintenance of printing equipment.

Printing is a fairly common line of business that does not lose demand for services even during a crisis. Rather, on the contrary - in conditions of fierce competition and the struggle for clients, small and medium-sized companies are increasingly turning to printing servants to produce advertising materials. In addition, price lists, price tags, copies, forms for internal circulation and other printed materials are always needed.

This state of affairs suits novice entrepreneurs; moreover, a printing house as a business does not require significant capital investments at the initial stage. How to open your own printing services company and achieve success, despite a sufficient number of competitors? A business plan will help.

Types of enterprises

The printing services market is represented by three types of printing houses:

  • Small printing houses – fulfilling small volumes of orders. If a company has at its disposal one main apparatus for the production of printed materials and several auxiliary machines - no more than 5-6, then it has the right to the title of a mini-printing house;
  • Average – respectively, for medium-volume services;
  • Large printing companies , which are engaged in the provision of services and the production of printed products on an industrial scale.

This division is not at all conditional, and when choosing the appropriate type of printing house, the future entrepreneur sometimes relies on profit, forgetting about such a parameter as demand. And he opens a printing house to fulfill a large volume of orders.

But in the absence of potential clients, the printing house will not be loaded at full capacity, which means there is no need to talk about profits and payback periods. Even a small printing house with expensive equipment and a small number of orders has a chance of breaking even in no earlier than 3 years.

Business registration

Before opening a business, a mini-printing house must be legalized. The best option for a novice entrepreneur would be to register as an individual entrepreneur. Registration will not take more than 5 days, and in the future this form of business will not require significant costs for accounting and tax reporting. Taxation system – simplified tax system 6% or 15%.

In the case where not one person, but several partners, plans to open a printing house, then an LLC is suitable.

Choosing a room for a printing house

The recommended room area is about 40 square meters. m. With a smaller area, it will be difficult to place several devices, and it will be inconvenient for employees to work. In addition, it is important to take care of the storage space for consumables and finished products.

When choosing a room for a mini-printing house, we must not forget about the need for proper electrical wiring and compliance with other fire safety rules. Most of the time, several appliances will remain on in the room.

Location

Some experts claim that the location of the premises does not play a significant role for the business plan of a printing enterprise. This statement is not entirely true.

Passability is really not such an important parameter for this business. But the location near an educational institution will play a positive role - students will come to the printing house for copies, teachers will come to print out teaching aids and other documentation.

The importance of location is justified by such characteristics as accessibility. The office must be accessible for freight transport. Also, clients should be able to get to the company by public transport, as well as easily find premises.

Fixed funds will have to be spent on the purchase of equipment for the printing house. Where to start assembling a company?

A standard set of services for a small printing company requires the following equipment:

  • digital printing machine;
  • plotter for large sheets;
  • equipment for thermal printing;
  • color printer;
  • bookbinder;
  • laminator;
  • pruning equipment;
  • computer;
  • consumables – blanks for souvenirs, paper, photographic paper, thermal film, oracal, flexible vinyl magnets.

Other equipment

Non-essential equipment includes furniture - tables and chairs for staff, work surfaces and tables for equipment, chairs or a sofa for visitors. In addition, we must not forget about licensed graphic editors, since free downloaded versions are not suitable for the printing business.

We must not forget about furniture for storing consumables and finished products. No office would be complete without stationery.

Digital printing machine

Digital printing press is the most expensive equipment

A printing machine is the most expensive equipment. A new offset press will cost an entrepreneur at least 250 thousand rubles. Such costs may be justified by guaranteed orders from large competitors. Otherwise, the machine will pay for itself in about 3 years or longer.

There are also more affordable options - risographs. Riso brand machines allow you to make black and white copies in relatively small quantities at high speed. Disadvantage: lack of flowers. There are also color risographs, but color consists of the presence of 3-4 shades in addition to black. Such a device is indispensable when urgent copies are required at low cost.

Consumables

Owners of small printing houses may face troubles when purchasing consumables. Some manufacturers of printing equipment recommend using original consumables produced by them. Those entrepreneurs who ignore the recommendations and purchase compatible replacements will soon be forced to repair printing equipment.

Thus, when using non-original materials for a Riso risograph, you often have to look for a replacement drum, the cost of which exceeds $1000. Experienced printing business owners advise buying original consumables from official companies that provide service support. This will eliminate counterfeits and preserve the equipment.

Range of printing services

The beauty of a small print shop is that it can handle a large number of printing services. The standard list includes the following:

  • color print:
  • black and white printing;
  • printing on souvenirs;
  • lamination;
  • scanning;
  • design development and production of business cards, brochures, posters, leaflets, flyers and so on;
  • printing photos.

If an entrepreneur plans to develop a printing business, then he can gradually purchase additional equipment, and his employees can master new types of services. With a creative approach, the range of printing products has no boundaries.

Printing services will be used by both commercial customers - large and small firms, marketing companies, and individuals. When analyzing the market for printing services in the regions of the country, the arithmetic average value of the amount of checks from mini-printing houses was calculated - 3 thousand rubles.

Staff

For the normal functioning of a printing business, a large number of employees are required:

  • editor;
  • designer - one or two employees;
  • layout designer;
  • corrector;
  • specialist in working with printing equipment;
  • workers for processing finished products - trimming, folding, etc.

At the initial stage, it is enough to select experienced generalists who are ready to both print and process products. A layout designer, as a rule, may have design skills. Those services that do not require professional skills - making copies, laminating, printing and other simple functions - can be performed by any unemployed employee.

Attracting clients

Advertising a printing house via the Internet is the most effective option

According to statistics, the most effective method of promoting printing services is the creation and promotion of a website on the Internet. This is confirmed by multiple search engine queries regarding various mini-printing services.

Thus, the business plan of a printing enterprise must include the costs of attracting customers via the Internet. As an online resource you can choose:

  • Own website . If you approach the issue wisely with a lot of free time, then there is a chance to master web design and layout in a short time to create a website yourself. In matters of website promotion, you will have to turn to a professional. The average cost of services, including development and promotion, is from 60 thousand rubles.
  • Group or public . A free alternative to your own website. Modern social media capabilities allow you to create an almost complete catalog with photos and content based on your own account. Even a group will need paid promotion; its cost starts from thousands of rubles.

In addition to promotion on the Internet, advertising platforms in the local press, outdoor advertising in the city and on transport have an effect.

Printing house financial plan

A business plan for a printing enterprise must contain lists of estimated costs and income to analyze the profitability of the enterprise and calculate payback periods.

Capital expenses when opening a mini-printing house include:

Table. Capital investments

List of monthly expenses:

Table. Monthly investment

Income

Let's calculate the printing house's estimated monthly income. The average cost of an order is about 3 thousand rubles, of which 300 rubles is the cost of consumables. A small printing house fulfills no more than 5 orders per day; with a 5-day working week per month, revenue will approach 300,000 rubles.

Taking into account monthly expenses, we get a profit before tax - about 90,000 rubles. If the taxation system for a mini-printing house is USN 15%, the net profit of the enterprise per month will be no more than 77 thousand rubles.

The profitability of this business is 36-38%. Payback period – 1.5 years.
